What Is Microsoft 365 Archive?

Microsoft 365 Archive is a cold storage tier for inactive SharePoint content that lives inside your existing Microsoft 365 tenant. Think of it as moving rarely-touched files from the front office to a secure, low-cost back room — without ever leaving the building.

Unlike migrating data to a separate archive system or external blob storage, your archived content stays within the Microsoft 365 trust boundary. All metadata, permissions, sensitivity labels, retention policies, and eDiscovery holds remain fully intact. It stays searchable by administrators through Microsoft Purview, and your existing compliance tooling keeps working exactly as it did before. Crucially, archiving is a storage tier change, not disposal — so records obligations, including those under the Public Records Act 2005, are unaffected.

The capability comes in two versions:

• Site-level archive (generally available since May 2024) moves an entire SharePoint site to cold storage. The site goes offline until an administrator reactivates it, making it ideal for decommissioned teams, completed projects, and historical records — but a poor fit for any site that’s still in active use.
• File-level archive (now generally available) is the game-changer. It lets you archive individual files within an active site while the site itself stays fully operational. Users with edit rights can archive; anyone with read access can reactivate.

The distinction is everything. Most organisations’ real problem was never dead sites — it was stale files scattered inside living sites, often the largest sites on the entire tenant. Site-level archive was too blunt an instrument for that. File-level archive solves it.

In practice, Microsoft 365 Archive enables you to:

• Cut the cost of overage. Stale content that’s quietly pushing you over quota can be reclassified to the archive tier at a quarter of the price — without deleting a single file or taking a site offline.
• Pay only for what spills over. Billing is genuinely nuanced: you’re only charged the archive rate on storage that exceeds your tenant’s included quota. If your combined active and archived storage is still under quota, archiving can cost you nothing at all.
• Separate the active from the inactive. File-level archive lets you take a more intentional approach to data lifecycle — keeping live collaboration content in the fast lane and long-term records in cold storage, without the two cluttering each other.
• Sharpen your AI. This is a major benefit that’s often overlooked.

Less Noise, Better AI

Microsoft Copilot is only as good as the data it can reach. Right now, it indexes everything in active SharePoint — including outdated drafts, obsolete reports, and files no one has opened in years. When your team asks Copilot a question, all of that stale material is in the mix, diluting response quality and occasionally surfacing exactly the wrong version of the truth.

With Microsoft 365 Archive, the shelved content is excluded from Copilot’s index entirely. Less noise, better output. Archiving stale files moves them out of Copilot’s reach without deleting them — so old, irrelevant content can’t degrade the answers your people rely on.

The sooner you act, the smaller the cleanup; the longer you wait, the bigger the bill and the noisier your AI.

The value is in the groundwork: profiling your largest sites, understanding the age and shape of your content, and identifying what’s genuinely inactive before you move anything. Archiving reclassifies storage rather than reducing your total footprint. Without a plan, it’s easy to overestimate the cost and stall, or underestimate it and get a surprise Azure bill. The savings are real and substantial, but capturing them cleanly takes a considered approach.
